Job Purpose:

The Right Hand to the Founder/CEO will be instrumental in managing administrative and operational tasks, allowing the CEO to focus on strategic initiatives. This role requires a high level of organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. The ideal candidate will be a proactive problem solver with exceptional communication skills and a meticulous approach to handling sensitive and critical tasks.

Key Responsibilities:

Administrative:

  • Calendar Management: Coordinate and manage complex calendars across multiple time zones, ensuring meetings are prioritized according to business needs.
  • Travel Arrangements: Optimize travel plans by aligning them with scheduled meetings and itineraries, ensuring efficiency and cost-effectiveness.
  • Workflow Management: Track ongoing workflows, proactively follow up with reminders and to-dos to ensure timely completion of tasks.
  • Meeting Coordination: Set agendas for meetings, summarize discussion points, and ensure key follow-ups are addressed.
  • Research and Reporting: Conduct thorough research and collate findings into comprehensive reports and databases.
  • Financial Tasks: Handle basic financial tasks such as expense tracking, invoicing, budgeting, and reimbursement processes.

Operational:

  • Project Monitoring: Monitor project statuses and provide updates through easy-to-understand visualizations.
  • Policy and Procedure Drafting: Draft company policies, standard operating procedures, and correspondence to ensure smooth operations.
  • Team KPI Management: Set team KPIs and assist in keeping the CEO’s direct reports on track with their goals and deliverables.
  • HR Operations: Assist with HR processes such as onboarding new employees, managing payroll, and other HR-related tasks.
  • Information Management: Ensure the efficient management and flow of information, ensuring that the CEO receives the right information at the right time.
  • Event Organization: Organize events from start to finish, including budgeting, vendor coordination, design input, and social media strategy execution.
  • Social Media Management: Manage company and/or personal social media profiles, including brand development, caption drafting, and post ideation.
  • Ad Hoc Support: Provide support in various areas of the business, including sales and lead generation, business development, human resources and talent acquisition, and marketing.

Requirements:

  • Language Proficiency: Professional fluency in English with excellent communication skills, both written and verbal.
  • Experience: A minimum of 3 years of experience in a communication-heavy position at a reputable firm.
  • Education: An undergraduate degree is preferred, though related work experience will also be considered.
  • Professional Certifications: MBA, CFA, CIPM, CIMA, or other professional certifications are strongly favored but not required.
