Courtyard by Marriott is seeking a dedicated and detail-oriented Rooms Controller to join our team at the Colombo City Centre location. As a Rooms Controller, you will play a crucial role in ensuring our guests have a seamless and enjoyable experience from the moment they check-in to the time they check-out. Position Summary:

The Rooms Controller is responsible for managing room assignments according to guest requests and preferences whenever possible. You will pre-register designated guests, prepare key packets, and coordinate check-in/pre-registration procedures for arriving groups. Additionally, you will review, track, and accommodate requests for room or check-out changes, communicate statuses to appropriate staff, confirm reservations and cancellations, and review out-of-order rooms daily. Ensuring rates match market codes, verifying and adjusting billing, filing guest paperwork, and processing all guest check-ins and check-outs are also key responsibilities.

Key Responsibilities:

  1. Guest Room Management:
    • Assign rooms based on guest requests and preferences whenever possible.
    • Pre-register designated guests and prepare key packets for arrival.
    • Organize and coordinate check-in and pre-registration procedures for arriving groups.
  2. Reservations and Cancellations:
    • Confirm reservations and process cancellations.
    • Review out-of-order rooms daily and ensure accurate room status.
  3. Billing and Documentation:
    • Verify and adjust guest billing as needed.
    • File guest paperwork and documentation accurately.
  4. Check-in and Check-out Procedures:
    • Set up and process all guest check-ins and check-outs.
    • Activate room keys and secure valid payment methods.
  5. Guest Requests and Communication:
    • Review and accommodate requests for room or check-out changes.
    • Communicate room status and changes to appropriate staff.
    • Follow up with guests to ensure their requests or problems have been resolved satisfactorily.
    • Receive, record, and relay messages accurately, completely, and legibly.
  6. Daily Operations and Reporting:
    • Perform duplicate reservation checks and block rooms as necessary.
    • Run daily reports and identify any over-commitments.
  7. Company Policies and Guest Interaction:
    • Follow all company policies and procedures, ensuring a clean and professional appearance.
    • Maintain confidentiality of proprietary information and protect company assets.
    • Welcome and acknowledge all guests according to company standards.
    • Anticipate and address guests’ service needs and assist individuals with disabilities.
    • Speak clearly and professionally with guests and team members.
    • Prepare and review written documents accurately.
  8. Team Collaboration and Support:
    • Coordinate tasks and work with other departments to ensure seamless operations.
    • Serve as a role model within the department.
    • Develop and maintain positive working relationships with colleagues.
    • Support the team in reaching common goals and comply with quality assurance standards.
  9. Physical Requirements:
    • Stand, sit, or walk for extended periods.
    • Move, lift, carry, push, pull, and place objects weighing up to 10 pounds without assistance.
    • Enter and locate information using computers and/or POS systems.
    • Perform other reasonable job duties as requested by supervisors.

Preferred Qualifications:

  • Education: High school diploma or G.E.D. equivalent.
  • Related Work Experience: Less than 1 year of related work experience.
  • Supervisory Experience: No supervisory experience required.
  • License or Certification: None required.
