Job Summary:

Sheraton Hotels & Resorts in Kosgoda, Sri Lanka, is seeking a dedicated and detail-oriented Assistant Events Operations Manager to join our dynamic team. In this role, you will assist the Events Operations Manager in executing meetings and events, driving the implementation of the brand service strategy, and supporting brand initiatives. You will play a critical role in ensuring that customer needs are met during meetings and events, while also working to grow event revenues. Your responsibilities will include handling issues and conflicts that may arise, conducting daily walk-throughs of the banquet floor to ensure client satisfaction, and maintaining the highest quality standards.

Candidate Profile:

Education and Experience:

  • Option 1:
    • High school diploma or GED.
    • 2 years of experience in event management, food and beverage, sales and marketing, or a related professional area.
  • Option 2:
    • 2-year degree from an accredited university in Hotel and Restaurant Management, Hospitality, Business Administration, or a related major.
    • 1 year of experience in event management, food and beverage, sales and marketing, or a related professional area.

Core Work Activities:

Assisting in Managing Meetings and Special Events Operations:

  • Research and Analysis:
    • Research and analyze new products, pricing, and services of competitors to stay ahead in the market.
    • Assist in coordinating all groups that impact property operations to ensure smooth event execution.
  • Event Coordination:
    • Review scheduled events and proactively troubleshoot potential challenges or conflicts.
    • Assist in overseeing the cleaning and maintenance of meeting spaces and corresponding heart-of-the-house areas.
    • Ensure that furniture and equipment are well-maintained and that inventory levels comply with corporate guidelines.
  • Brand Service Initiatives:
    • Assist in the execution of brand service initiatives in event management areas.
    • Conduct daily walk-throughs of the banquet floor to drive client satisfaction and maintain quality standards.

Assisting in Budgets and Finances:

  • Vendor Relations:
    • Develop working relationships with outside vendors and establish prices and service agreements to enhance the event experience.
    • Identify and pursue additional revenue opportunities for the property through these partnerships.
  • Budgeting:
    • Assist in creating the annual banquet budget, ensuring it aligns with overall financial goals and strategies.

Driving Exceptional Customer Service:

  • Client Satisfaction:
    • Create an atmosphere in all event management operations areas that meets or exceeds guest expectations.
    • Consult with customers to determine objectives and requirements for events such as meetings, conferences, and conventions.
  • Customer Consultation:
    • Work closely with clients to understand their needs and preferences, ensuring that all aspects of the event are tailored to their expectations.

Additional Responsibilities:

  • Conflict Resolution:
    • Handle issues and conflicts that may arise during meetings or events promptly and professionally, ensuring minimal disruption to the client’s experience.
  • Team Collaboration:
    • Work closely with other departments to ensure seamless event execution, from planning to post-event follow-up.
  • Training and Development:
    • Support the development and training of junior staff within the events team, ensuring they are equipped to deliver high-quality service.
  • Compliance and Standards:
    • Ensure all event operations comply with Marriott International’s quality assurance standards and local regulatory requirements.

Skills and Competencies:

  • Strong organizational and time management skills, with the ability to handle multiple tasks simultaneously.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with clients, vendors, and colleagues.
  • Problem-solving abilities, particularly in high-pressure situations.
  • Knowledge of event management software and tools is a plus.
  • A proactive approach to work, with a focus on continuous improvement and customer satisfaction.

Preferred Qualifications:

  • Experience in a luxury hotel or resort setting is highly desirable.
  • Familiarity with the local market and its unique challenges and opportunities.
